This Privacy Policy (“Policy”) outlines the kinds of information that College Mentors for Kids (“College Mentors”, “We”, “Us”) collects on our website, how this information might be used, and with whom we may share it.

This Policy only addresses information collected directly through the webpages and services found at collegementors.org (collectively, “Sites”) – it does not address or govern any information-gathering, use, or dissemination practices related to information collected from you through other means, such as from telephone, postal mail, personal delivery, or other offline means or media.

THE INFORMATION YOU VOLUNTARILY PROVIDE TO US:

The type that you voluntarily provide to College Mentors depends on your role in our program.

MENTORS:

All potential volunteers must first be enrolled as a student at a college or university where College Mentors has an active chapter. The official mentor application can be found at (https://members.collegementors.org/application). Here, we collect the following personally-identifiable information from you:

• Legal name
• Email Address(es)
• Phone Number(s)
• Physical Address
• Date of Birth
• Race & Ethnicity
• Gender

We also collect:

• Conviction and expulsion history
• Academic information such as your college/university’s name, class standing, graduation date, and major
• Other program-specific information as indicated on the mentor application

We require all mentors to provide at least one emergency contact and their name, email address(es), phone number(s). The information you provide for your emergency contact(s) will only be used in the case of a true emergency, and we will not use their information for fundraising, marketing, or other aspects of our program.

The information you voluntarily provide will be shared under these limited circumstances:

• If you are selected as a mentor, College Mentors will complete a background check on you. We will share your personally-identifiable information with a secure third-party background check service in order to complete your background check. You consent to this process during the mentor application. If you do not consent to a background check, you are ineligible for our program.

• During the application, you can opt-in to receive communication from College Mentors for Kids’ corporate partners. If you opt-in, we may share your name, email address(es), phone number(s), and academic information with our corporate partners.

• We contract with third-party web developers and IT specialists to maintain and upgrade our program database at members.collegementors.org. Due to the nature of their roles, they have the ability to access program data, but are bound by confidentiality clause(s) found in our agreements not to disclose any information about program participants or use this information for any purposes other than providing technical upgrades and support.

• We may disclose your information to legal authorities if requested and when honoring that request is required by law.
College Mentors will use the information you provide in the application for the purpose of administering the mentoring program. This includes but is not limited to contacting you with reminders to complete trainings, updates about our program, toolkits for fundraising/awareness campaigns, mentor recognition eNewsletters, and surveys.

Upon graduation, College Mentors may add alumni to our eNewsletter contact list. You can opt-out of this communication at any time by clicking the “unsubscribe” link at the bottom of any of our mass emails.

If you make a monetary donation to College Mentors for Kids, the policies listed under the “Donor” section may also apply.

PARENTS/GUARDIANS OF LITTLE BUDDIES:

All families who wish to enroll their child in our program as a little buddy (mentee) will complete either a paper application provided by their school or the online application found at ( https://members.collegementors.org/permissionpacket). In this application, we collect the following personally-identifiable information (PII) about you:

• Legal name
• Email address(es)
• Phone number(s)

We also collect the following PII about your child:

• Legal name
• Mailing Address
• Date of Birth
• Gender
• Race & Ethnicity

We also collect:

• Annual Household Income*
• Household size*
• Language preference*
• Highest level of education completed*
• Your child’s school
• Your child’s grade level
• Other program-specific questions as indicated on the Permission Packet or Online Application

*indicates OPTIONAL information. Withholding this information will have no adverse impact on your child’s eligibility or participation in College Mentors.

We require all families to provide at least one emergency contact with their name, phone number(s), address, and relationship to your student. The information you provide for your child’s emergency contact(s) will only be used in the case of a true emergency, and we will not use their information for fundraising, marketing, or other aspects of our program.
The contact information you provide will only be used by College Mentors staff and volunteers to facilitate our mentoring program. This includes, but is not limited to, contacting you with program updates, opportunities for engagement, requests for feedback, and invitations to re-enroll your child in future semesters. If your child is graduating from our program, we may also share resources about other youth programs. We will never sell or share the information you provide us about yourself or your child with a third-party. The demographic information you provide will only be used in aggregate reporting.

If your child participates in our program, you also give permission for your child’s school to release certain academic information including but not limited to grades, attendance, and behavior referrals. This information is only used for purposes of evaluating the mentoring program and will only be used in the aggregate. More information about the data released by schools can be found in the “Parent Agreement and Waiver of Liability” included in the Permission Packet or Online Application.

We protect your information by destroying all paper Permission Packets no later than two weeks after the activity year ends. College Mentors reserves the right to keep your information on our encrypted, password-protected database for the purpose of tracking student participation year after year.

DONORS:

To make a financial contribution to our program, please visit (www.collegementors.org/donate). All donations made through our website are securely processed through Blackbaud, a third-party payment processing service. When you make a donation, College Mentors collects the following personally-identifiable information:

• Name
• Email Address
• Phone Number
• Physical Address

To complete your online donation, you will need to provide credit card payment information. This information is encrypted and processed by Blackbaud. Blackbaud has its own Privacy Policy that covers its own information collection, use, and disclosure practices. If you choose to make a recurring gift, your payment information will be securely stored by Blackbaud and used solely for the purpose of processing your recurring gift. Your payment information will not be used for any other purpose by College Mentors. If you prefer not to make a financial donation online, you may also send a check to:

ALL OTHER VISITORS:

You do not need to enter any personal information to use our website. Occasionally, College Mentors asks for award nominations, alumni stories, feedback, and other input from friends of College Mentors. You may voluntarily share the information listed on these forms, and the information will be used as detailed at the time of submission. Your information will not be sold to or otherwise shared with a third-party service.

THE NON-PERSONAL INFORMATION WE COLLECT BY AUTOMATED MEANS:

GOOGLE ANALYTICS:

We use Google Analytics, which is provided by Google Inc. It uses cookies to collect, for example, information about the operating system and the browser that you use, your IP address, the website you previously accessed (referrer URL) and the date and time of your visit to the Websites. We are able to track your usage patterns with the help of the cookies. The information generated by cookies about the use of the Websites is transmitted to a Google server, which may be located within or outside of, the United States, and stored there. Google will use this information to evaluate your use of the Websites. You can visit https://policies.google.com/technologies/cookies?hl=en-US to learn more about Google Analytics’ use of cookies. It is important to note that no personally identifiable information is saved or transmitted by Google Analytics’ cookies.

Our site currently does not respond to “Do Not Track” (DNT) signals and operates as described in this Privacy Policy whether or not a DNT signal is received, as there is no consistent industry standard for compliance.

Please note that unless otherwise indicated, we have no affiliation with any of these other websites that you may visit and cannot control and are not responsible for the information collection, use, and disclosure practices of such third-parties; we encourage you to review and understand their privacy practices and policies, if any, prior to providing any personally identifying information to them. We are not responsible for the content or information of these websites, any products, services, advertising or opportunities that may be offered through these websites, or any other use of the linked websites.
